DormBox – Terms of Service

These Terms of Service (“Terms”) govern your access to and use of DormBox cupboards, rental items, digital services, and any related platforms (the “Services”) provided by DormBox B.V. (“DormBox”, “we”, “our”, or “us”). By registering, creating an account, or using any DormBox Services, you agree to these Terms.

If you do not agree, do not use the Services.

1. Eligibility

  • Be at least 18 years old (or have legal permission to enter a contract in your jurisdiction).
  • Be a resident or student with authorized access to the accommodation where DormBox cupboards are installed.
  • Provide accurate registration information.

2. Use of DormBox Cupboards & Rental Items

2.1. Authorized Access Only

You may access only the cupboard(s) assigned to you through the DormBox system. Unauthorized access attempts are strictly prohibited.

2.2. Rental Items

All items taken from a DormBox cupboard are considered rented under your account. You are responsible for returning items by the stated deadline and in the same condition (normal wear excepted).

2.3. Damage or Loss

You agree to reimburse DormBox for:

  • Lost items
  • Damaged items
  • Excessive wear beyond normal use
  • Unauthorized forced entry into cupboards

Charges will be applied to your DormBox account

2.4. Prohibited Use

You may not:

  • Modify or tamper with any DormBox hardware or IoT lock
  • Store personal items inside DormBox cupboards
  • Use items in ways that violate safety instructions

3. Fees & Payments

3.1. Rental Fees

Pricing for each item is displayed in the DormBox interface. By unlocking and taking an item, you automatically agree to the applicable rental fee.

3.2. Late Fees

You agree to pay late fees for items returned after the allowed rental period.

3.3. Automatic Billing

You authorize DormBox to charge you for rentals, late fees, damage fees, or lost items.

4. Technology, Data & Privacy

4.1. Locks and Access Logs

DormBox uses secure electronic locks. For safety, accountability, and operational reasons, we record:

  • Time of cupboard access
  • Items taken and returned
  • Device identifiers used to unlock the cupboard

4.2. Personal Data

We collect and process the following data only as necessary to provide the Services:

  • Name, email, student housing ID
  • Access logs
  • Rental history

This processing is performed in compliance with GDPR and applicable Dutch/EU privacy law. Full details are available in the DormBox Privacy Policy.

4.3. User Responsibilities

You must:

  • Keep your login credentials secure
  • Immediately report any unauthorized access

5. Service Availability & Modifications

DormBox may suspend or modify the Services at any time for maintenance, improvements, or safety reasons. We do not guarantee uninterrupted access.

6. Termination

DormBox may terminate or limit your access if:

  • You violate these Terms
  • You damage or repeatedly lose DormBox items
  • You engage in unsafe or unauthorized activities

You may stop using the Service at any time by closing your account, but outstanding fees remain payable.

7. Liability

7.1. User Liability

You are responsible for:

  • Damage to rented items
  • Misuse of equipment
  • Fees associated with late returns or losses

7.2. DormBox Liability

To the fullest extent permitted by law, DormBox is not liable for:

  • Personal injury caused by misuse of rental items
  • Loss or damage to your personal property
  • Interruptions of service due to technical issues

DormBox’s total liability is limited to the amount you paid for Services in the previous 12 months.

8. Acceptable Behaviour

You agree to use DormBox respectfully and lawfully. Harassment of staff, abuse of the system, or attempts to exploit service loopholes may result in suspension.

9. Changes to Terms

DormBox may update these Terms from time to time. Continued use of the Services after changes means you accept the updated Terms.

10. Governing Law

These Terms are governed by the laws of the Netherlands. Any disputes will be handled by the competent courts of Amsterdam unless otherwise required by EU consumer law.
